1. Overview
This Privacy Policy explains how Furdentify LLC ("Furdentify," "we," "us") collects, uses, and protects information across two contexts: our marketing website (furdentify.com), and the Furdentify service that shelters and rescues use to manage their operations.
A key distinction runs through this policy. For information you give us directly (like a contact form or your staff account), we decide how it is handled and are the "controller." For records a shelter keeps in its Furdentify account, including personal information about adopters, applicants, fosters, and donors, the shelter is the controller and we process that data only on the shelter's behalf.
2. Information we collect on this website
- Contact and early-access requests: your name, email address, organization name, and message, used to respond to you and set up your account.
- Analytics: we use Google Analytics to understand how visitors use the site (pages viewed, approximate location, device type). Analytics involves cookies; you can block them in your browser without affecting the site.
- Bot protection: our forms use a bot-protection service to filter automated abuse. It evaluates technical signals from your browser but does not show tracking ads.
- Targeted advertising: we use third-party tools including Google Ads and the Meta Pixel on this website to measure ad performance and reach shelter professionals. These tools collect connection data and website activity so we can show you relevant Furdentify advertisements on other platforms. See section 7 for how to opt out.
3. Information we collect in the service
- Staff accounts: name, email address, and optionally a job title, phone number, and profile photo. Passwords are stored only as secure one-way hashes; we cannot read them.
- Organization settings: your shelter's name, contact details, branding, and configuration.
- Organization records: the animal records, medical histories, photos, notes, contacts, donations, and form submissions your shelter enters or collects. This data belongs to your organization (see section 5).
- Activity information: the service keeps internal logs of changes to records (who edited what) so shelters have an audit trail of their own data.
4. If you apply to adopt, foster, or donate through a shelter
When you fill out a shelter's public application form or your information is recorded by a shelter that uses Furdentify, that information goes into that shelter's own records. The shelter controls it; we store and process it on the shelter's behalf and do not use it for our own purposes. To access, correct, or delete that information, contact the shelter directly; we assist shelters with such requests where needed.
5. Your shelter's data
Records a shelter enters into Furdentify belong to that organization. Each organization's data is stored in its own separate database, isolated from other customers. We do not sell any data, we do not use shelter records for advertising, and we access a shelter's data only to operate the service or when the shelter explicitly grants time-limited support access (see section 8).
We may create and use aggregated, de-identified statistics for research, reporting, and improving the service (for example, the total number of animals adopted across all shelters that use Furdentify). These figures are counts and trends only. They never include personal information, and we report them only at a level that cannot be traced back to any single shelter, animal, or individual.
6. How we use information
- To provide, maintain, and improve the service.
- To respond to requests and provide support.
- To send transactional email: password resets, account invitations, and service notifications. These are not marketing emails.
- To understand website usage in aggregate (analytics).
- To protect the service against abuse, fraud, and security threats.
7. Cookies, local storage, and advertising
The service itself does not use advertising cookies. When you sign in, we store a login token and interface preferences (such as dark mode) in your browser's local storage; they are used only to keep you signed in and remember your settings. The marketing website uses Google Analytics cookies as described in section 2.
Third-party advertising and remarketing
While the Furdentify service, where shelter data is managed, is completely free of advertising trackers, our public website uses tracking pixels and cookies from third-party vendors, including Google and Meta.
How it works: these vendors place cookies in your browser to record your activity on our website. That lets us measure conversion rates and show you relevant Furdentify advertisements elsewhere on the internet based on your past visits to our site (remarketing).
Your choices: you can opt out of these networks directly, or block cookies in your browser, which stops these trackers without affecting how the site works.
- Google: opt out of personalized ads in Google's Ad Settings.
- Meta: manage targeted advertising in your Facebook Ad Preferences.
- Across many vendors at once: the Network Advertising Initiative opt-out page and the Digital Advertising Alliance opt-out page.
8. Support access
Our support staff cannot see inside a shelter's account by default. A shelter administrator can grant support access for a limited time from within the service; that access is read-only unless the administrator chooses otherwise, automatically masks stored contact details of adopters, donors, and other contacts in read-only mode, is logged, expires automatically, and can be revoked at any time.
9. Service providers
We share information with a small number of providers only as needed to run the service:
- Hosting and infrastructure to serve the website and service.
- Email delivery to send transactional email such as invitations and password resets.
- Encrypted offsite backups to protect against data loss.
- Analytics on the marketing website only.
- Payment processing for subscriptions; card details go directly to the payment processor and are never stored on our servers.
These providers process data under their own privacy commitments and our agreements with them. A current list of providers is available on request. We do not sell personal information to anyone.
10. Security
Security measures include isolated per-organization databases, encrypted connections (HTTPS), hashed passwords, single-use expiring links for password resets and invitations, role-based access controls (including read-only volunteer accounts), and re-encoding of uploaded images. No system is perfectly secure, but we design for the sensitivity of the records shelters keep.
11. Data retention
We keep your information for as long as your organization has an active account. If your subscription ends, your organization's data remains available for export for at least 30 days before deletion, unless the law requires longer. Website inquiries are kept as long as needed to handle them.
12. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a copy of your personal information. For information we control (website inquiries, staff accounts), email us and we will respond. For information held in a shelter's records, contact that shelter; we will assist them in fulfilling your request. We do not discriminate against anyone for exercising privacy rights.
13. Children
Furdentify is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us information, contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. If a change is material, we will notify account administrators by email or in the service before it takes effect. The date at the top reflects the latest revision.
